How to Import VRF Equipment from Türkiye: Step-by-Step Buyer Guide

Successful importing starts with a technically complete request, not with freight booking. Model compatibility, electrical standard, documents, Incoterm and destination responsibilities must be agreed before the order is released.

1. Prepare a procurement-ready RFQ

Send the BOQ or equipment schedule in an editable format where possible. Include project country, city, application, required voltage/frequency, preferred brands, delivery destination and target date. For replacement parts or extensions, include clear nameplate photos and existing model numbers.

2. Confirm technical compatibility before price approval

A quotation should identify exact outdoor units, indoor units, branch components, controllers and accessories. Check refrigerant, electrical characteristics, piping limitations, control compatibility and whether the offered series is suitable for the destination market and project conditions.

3. Agree the Incoterm and named place

Incoterms® allocate specific costs, risks and obligations between buyer and seller, but they do not replace the sale contract. Use the full rule and a precise named place or port. Confirm who books carriage, arranges insurance, handles export clearance, clears the goods for import and pays destination charges.

4. Review the document pack

Türkiye’s export regime requires exported goods to be declared to the authorised customs administration. The exact document pack varies by product, destination and transaction. Typical commercial files may include the invoice, packing list, transport document, customs declaration support and origin documentation where applicable.

  • Commercial invoice matching the agreed model and quantity schedule
  • Packing list with package count, gross/net weight and dimensions
  • Transport document appropriate to road, air or sea shipment
  • Origin, conformity or other documents only where applicable and confirmed

5. Protect equipment and traceability

Packing must protect coils, cabinets, electronics and controls for the selected transport mode. Keep package labels, serial numbers and packing-list references aligned so shortages or transit damage can be investigated quickly at destination.

Import clearance and importer-of-record responsibilities depend on the destination and agreed contract. They must be confirmed before order, together with the selected Incoterm and named place.

Which Incoterm is best?

There is no universal best rule. Choose it according to transport mode, buyer capability, insurance, customs responsibilities and the exact named place, using the official ICC rules.

Can several VRF brands be consolidated?

Potentially, subject to availability, compatibility, packing and commercial terms. The consolidated packing and document schedule should be agreed before shipment.
